The application of the Incident Command System would be ideal for planning a social event to raise community awareness and funds in my organization. The incident command system establishes a logical method for planning large scale events and would help everyone in my organization work together to make decisions. Each member who volunteered to assist would have a crucial part in the planning and decision making. The five primary functions would need to be filled, Command, operations, planning, logistics, and finance. As the sole member asked to coordinate the event, I would be designated as the Incident Commander. I would most likely include the organization president in my command position as well. A member of the social events committee will be charged with operations, another member will be charged with planning, and lastly a member of the social events committee will be charged with logistics. A member of the finance committee will be tasked with finance responsibilities. Each of these four committee members will gather a group of 3-4 volunteers to assist. Major decisions will need to be approved by me. Financial obligations will need to be ran through the organization treasurer.
For the purpose of this assignment, I will make some assumptions. My social event will be a pasta dinner and 50/50 raffle.
The operations division will coordinate various events at the dinner such as raffle basket donations that will need to be collected and organized. Other tasks will come up as the event gets closer, which may cause some difficulties. They will begin collecting donations from members of the community. Communication will need to be clear and constant in order to prevent disasters!
The planning division will focus primarily on the food and plastic utensils needed. Often, local restaurants are willing to donate food for pasta dinners, or give the organization an extremely discounted price. The best offer wins for these types of events. Before a major decision about food is made, the commander (myself) would need to be notified. Once details are beginning to be set, the process of advertisement will need to begin. Posters can be placed around town and social media can be utilized for promotion of the dinner. If possible, invitations or evites should be sent to members of the organization and other email subscribers. The planning division has the most responsibility for this event, and will most likely become overwhelmed. As the command, I need to keep an eye on the members of this division to ensure that no one becomes frustrated or stressed. Early signs of the stress can be recognized to prevent any breakdowns.
The logistics division will work to reserve a venue such as a firehouse meeting room or church basement. They will need to locate a venue which would be of no cost to the organization so some shopping around may be necessary. Also, if any permits need to be obtained through the town for the organization, the logistics division will work on that.
Lastly, the finance division would be in charge of funding the event. Hopefully, the organization would have food, utensils, raffle supplies, baskets, and a venue donated so it wouldn’t cost anything but they need to be prepared for the possibility of up-front expenses. The finance division will also determine a price for attendance and ticket sales. Tickets may be sold in advance, or sold at the door depending on what worked best in the past. They will collect all funds and deposit them with the treasurer of the organization.
Even with a perfectly streamlined planning system, difficulties will always come up. In meetings, communication must be stressed. Effective communication will be the key to an event without any hitches. When an issue comes up, I would need to be notified immediately. The earlier I know about a problem, the quicker it can be resolved!)
