Supply Chain Management for retail business of clothing (Model an Inventory Management system to get better supply chain for this retail business

Executive Summary

In a highly competitive market like clothing industry, it is natural for a company or organization to improve its supply chain to ensure efficient operation and increase customer satisfaction (Effrosyni 2015, p. 382). This entails having a real-time inventory control that does not bleed time and money from the company. Moreover, it must be noted that an important stakeholder in the organization’s performance is the customer: making sure that their demands are met and they are satisfied with the products and service the company provides.

As a result of these challenges, the organization must be able to shorten the process of production to distribution. This can be done by building a real-time inventory management system that does not only provide timely and relevant information to all the company’s branches but also lessens the amount of time and money spent on the current system which focuses on requisition. Another proposal would be to build a centralized warehouse closer to the heart of Brisbane which allows for centrally-focused purchasing, thus, reducing delivery time. Both of these solutions lean towards a flexible and responsive company culture, a sure recipe for success.

In conclusion, the study is aimed at the development of ICE Design and its continuous expansion in the Brisbane region. Its progress will be measured at a time frame of 3 months, which is just about enough time to quantify the improvements in the production and distribution of the commodities (if any). Moreover, one factor to determine the measurable success of this project is to see the reduced cost on time and money as well as increase in customer satisfaction and in sales. At the end of its implementation, ICE Design would bring the trendiest and latest fashion with an Aussie twist closer to home – all in one go.

1.0 Introduction to Organization

ICE Design is an Australian clothing and accessories retailer based in Australia. The company aims to bring the trendiest and latest fashion inspired from the world’s main fashion centers, like London, Paris and New York, but with an Aussie twist (ICE Design, n.d). The company was established in 1991 by Garry Leonard and it has 14 stores across Brisbane region and is still increasing in number. ICE Design stores receive deliveries once or twice a week.

Due to increasing number of branches, the company is facing the problem of distributing the right quantity of items to meet the expectation and satisfaction of the customers. Some stores make more profit than the others and usually run out of sizes and items. They have to call the head office to send more of the items but the delivery usually takes a week or more before it gets to its destination. According to one study, the success or failure of the company can be determined by the organization’s ability to be flexible and respond immediately to the demands (Christopher et al., 2004). This problem could affect the profit of the company as the fashion trend keeps changing. Below is the list of problem of the current system:

Inventory control
Distribution/ Supply chain
The current system is not real-time
Request of items takes more time and money.
Customers need to wait long to know if the stock they need is available
Current system consume a lot of time in keeping up with stocks.
Customer demand was not met.
Low level of customer satisfaction.

2.0    Description of Proposed Project at Organization

Build a real-time inventory management system to provide real-time stock level information and prevent the problem of inventory stock-outs.
Build a centralized warehouse in Brisbane for central purchase to reduce delivery time.

3.0    Project Management Overview

3.1 Scope of Project

In this Project, our main concern is to deliver the stock, a product, service to the store on time to meet the customer satisfaction and to maintain the business in a well discipline way in terms of customer service and organizational profit.  This will be done by applying a real-time inventory management system which provides accurate details of the stock in the warehouse also in the stores. Also, a team will be made who delivers the goods and the products to all the stores within the SLA (SLA will be 24 hours) to all the stores of the particular city. Apart from that the store manager will be assigned the responsibility to make sure whether all the stock is currently available in the store or not. Also, the CRM will be assigned the task to make the list of all the items which are not available in the stock and email the warehouse team so the warehouse team to make sure they do deliver all the required stock and products which are not available in the store within the given SLA. Adding one more responsibility to the Store manager he/she will be assigned the responsibility to call the customer informing that the stocks are available in the store. Hereby, building a real-time inventory management system will resolve the Distribution and Supply of the stock to all the stores of the city for a particular warehouse. Also, we will try to manage end to end supply chain operations of an online shopping portal and we will micromanage all the activities starting from sourcing the goods till warehouse and dispatching them to the end customers. Apart from that the organization will manage cost effective process to sustain profitability and completion.

3.2    Objectives and Constraints

The objectives to model a supply chain management system for the ICE Design business. The other objective is to Build a centralized warehouse. To build an inventory management system for the organization we need to amend the system user friendly to maintain proper communication between the store manager and the warehouse team regarding the stock. It also need to design an effective and precise process for managing supply chain activities of an online shopping portal. The company has to hire effective manpower including Distributors, Store Managers and CRM. Also maintain SLA so that the warehouse team deliver the goods and products on time. Scorecard’s will be made for the Store Managers and CRM and monthly targets will be assigned to them. Also, incentives will be given if they achieve the targets over and above. Providing interesting deals to make more customers to attract them towards our brand and Provide excellent customer service also request customer feedback in order to improve the customer service. So this are the objectives we will implementing to achieve positive outcome.

Hire appropriate candidates for the organization and make sure they work efficiently also make sure they achieve the given targets. Finding logistics partners for delivering goods to the customers. The management have to manage appropriate cost to provide the best price to the customers. Provide interesting deals to the customers so they keen interest in the brand online and at the stores as well. Advertising the brand to make it popular among all the other brands. Hiring and managing enough resources for smooth process so that ETA of the delivery date is not postponed, hence enhancing customer experience. Weather factor could also be one of the constraints on some occasions. Managing on time deliveries on holidays and during festivals. Sudden spike in number of orders due to sale is also a constraint, Managing low delivery costs. If the portal is not updated, then customer might end up ordering a product which is out of stock. To source a product on short notice in such scenarios could be very challenging.

3.3              Statement of Work

The project is going to model a supply chain management system for this ICE Design Retail business. All the branches will be controlled centrally through the man warehouse located in Sydney. An inventory management system will run through master computers in each branch office. All the sales registered will be linked to the master computer located in branch office.
The system will be capable of counting the stock side by side while it’s sold out. At the end of trading day it will produce an order list for branch manager, according to the sold items. After that branch manager will be able to edit it order list and send to the central warehouse.
In the Central warehouse system will match the orders from all branches and sort out the similar items. Where purchasing officer would be able see the stock of all branches and can shuffle the stock according the demand and then Purchasing officer will produce a final order list to put order for all branches.
All stock will be delivered to central warehouse and will distributed to the branches.
Note: At this stage we are going to declare Sydney branch as central warehouse by renting some extra space. In future we will implement this system to each branch to work independently.
Resources Requirement:

Modelling an inventory management system (IMS), to the supply chain better by stock rotation, distribution and control
Developing (Developing of the system will be outsource)
