Mini Development project;
In groups of 5 (plus or minus 1).
Choose one of the following Project Management tasks and think about how it will be managed for a project of your choice. You should assume a limited budget, limited timescale, a project manager, a project board and a nominated project team. You may make whatever assumptions you wish about clients, third party suppliers for deliverables and the size and focus of the project but you do not need to document these unless you think it will clarify the issues you are presenting. If you decide to document your assumptions please do so on a separate document with a heading that states clearly what it is.
Project Management task (choose 1)
1. Managing Scope
2. Managing Risk
3. Managing Resources (people, equipment, time)
As a group, plan, implement, monitor and deliver the following tasks as a mini project with allocated roles for different team members.
1. Write a single page briefing paper for senior management in the client company that describes, in terms of the full project management life cycle, what you understand about your chosen task. The purpose of this report is to help the senior team understand the reason that effective management of this aspect of project management (scope, risk, resources) is important, how it will be undertaken for their project, and the consequences of not doing it correctly.
2. Produce an A3 poster that identifies and evaluates three tools, techniques or activities that can help a project manager in undertaking this task. The tools you identify may offer alternative approaches to the same part of the task or tackle different aspects of the task. No need to submit this to Turnitin.
3. Produce a 5 minute powerpoint presentation with audio track that analyses the stakeholders a project manager should consider in carrying out this task and suggest suitable methods of communication and interaction with these stakeholders.
4. Produce a 2 page training pack for one tool/technique or activity that would contribute to the successful completion of this task. Include text, diagrams, graphics, links to further information, quizzes etc.
5. Provide a forum, wiki, blog or other electronic medium that starts on 11/11/14 and documents the project management decisions taken, the planned activities, role allocations, progress updates, internal quality reviews and lessons learned, i.e. provides a record of your project management of the task and your team deliberations.
Add the deliverables for each of the tasks to your electronic medium as a list of deliverables. If this presents a problem, make them available electronically via another medium such as YouTube or DropBox.
Submit links to the different parts of the assessment (one, or more), taking care to verify that your tutor will have access and the links include access to all 5 tasks.
You need to work with people in your workshop session. You will have to choose a workshop session and stick with that slot throughout term 1, thus ensuring there are at least three times when you can meet with your team face to face.
You may decide to nominate a Project Leader/Manager to coordinate your assignment team. This is recommended but not compulsory. Their role might be to set-up and moderate the forum/wiki/blog you use for task 5 and organise meetings, record points from meetings, chase deliverables and updates of progress and generally manage the assignment delivery.
You may decide to allocate the first four tasks to individuals or parts of the team however task 5 must involve all students and will attract an individual mark. That is, students will receive a group mark for tasks 1-4 and an individual mark for their contribution to task 5: suggestions, discussions, evaluations, reviews, advice etc. on your chosen medium. In other words we will reward evidence of an individual’s involvement in the assignment by assessing the contributions on your chosen medium. No involvement will attract a 0 for task 5 and remember task 5 is worth 40% of this assessment mark.
Task 1 (15 marks): Completeness and clarity of description of the purpose of your chosen area; provision of clear and complete explanation about how this area will be catered for by the project and demonstration of insight about the range of consequences that might follow from an inadequate approach.
Task 2 (15 marks): Effectiveness of visual communication. Sensible choice of tools/techniques/activities. Critical, logical and relevant evaluation of tools/techniques/activities for chosen project that identifies difficulties and limitations as well as benefits and advantages.
Task3 (15 marks): Visual appeal of slides and consistency of layout; suitable amounts of information on each slide; clarity of audio. Completeness and relevance of identified stakeholders. Suitable analysis of their involvement using established technique leading to appropriate recommendations for planned interaction with them.
Task 4 (15 marks): relevance of tool chosen; clarity of presentation and suitability of language used; guidance about when to use it; and what it provides to the project manager; completeness of guidance on how to use the tool/technique.
Task 5 (40 marks): regular entries for whole life cycle of assignment; scope statements; documentation of meetings; publication of overall plan; schedule of delivery; risks; deliverables; reviews of deliverables, etc. Plus comments in the form of suggestions, discussions, evaluations, advice and suggestions to other members of the team about all aspects of the project. See Additional Information section above about use of Project Manager to undertake this task and the required contribution of all the team.
